The Operations Lead completes critical job tasks relating to the branch, as well as, assisting record center and transportation specialist team members in daily operations by providing hands on direction and support with input and direction from the Operations Supervisor and/or Market Leader.
Assist Operations Supervisor and/or Market Leader in managing record center and transportation specialist team members in assessing workloads, establishing and monitoring schedules, time off, and operations performed, in order to maintaining accuracy, efficiency, safety and security, while meeting Access SOP standards and Client Service Level Agreements.
Lead team members in daily set up and execution of operational tasks including, but not limited to, maintaining appropriate inventory, managing the destruction process for all clients, authorizing vehicle rentals, facilitating perm-outs, and organizing records for productivity, safety, incentives, maintenance, meetings and training.
Perform record center and transportation duties when staffing coverage needs arise.
Assist with providing training to team members on systems, scanners, workflows and procedures and provide feedback to Operations Supervisor and/or Market Leader on team member performance as needed.
Participate in candidate interviews as needed.
Provide management with performance data required with regard to counseling Record Center and Transportation Specialist Team Members when performance issues arise and feedback for performance reviews.
Ensure compliance with appropriate OSHA regulations and ensure all accidents and injuries are properly reported.
In conjunction with Operations Supervisor, ensure facility, as well as all vehicles, are safe and clean and follow through on any repairs or maintenance as needed.
Schedule and ensure completion of all scheduled branch audits.
Notify the Operations Supervisor and/or Market Leader of all un-reconcilable exceptions within 48 hours.
Meet KPI targets.
Communicate regularly with direct supervisor to notify him or her of any potential issues, including but not limited to, those relating to the role, or to the client.
Participate in safety and security meetings and advise the appropriate manager of any violations.
Know and understand defined role in the Company Disaster Recovery Plan.
Travel between facilities if necessary.
Collaborate with team members to increase efficiencies, the resolution of issues and the implementation of new policies and procedures.
Comply with all company policies and procedures.
Other duties as assigned by Supervisor.
Education and Years of Experience:
High school diploma or equivalent required.
3 years’ work experience in a service industry.
1 year experience providing hands on support to service-oriented teams required.
Knowledge, Skills and Abilities:
Strong communication skills, both oral and written.
Must possess basic computer skills.
Must have basic supervisory skills.
Strong attention to detail.
Strong customer service skills; values customers and communicates with them in a professional manner.
Ability to work collaboratively in a team environment.
Ability to adhere to and enforce all security procedures.
Must have the ability to guide and educate team members on daily activities.
Physical Requirements (lifting, etc.):
Routine lifting of 20-60 pounds.
Routine scanning of materials.
Routine bending and stretching.
Able to operate forklift and/or pick lift.
Must be certified to operate forklift and/or pick lift.
Must be able to climb stairs and use tools to maneuver materials.
